PRIVACY AND CONFIDENTIALITY POLICY

PRIVACY & POLICY:

1-2. Use of information.

2.1. This Privacy Policy sets out our policy concerning information that can be associated with or related to a person and could be used to identify a person (“Personal Data”) that is collected from users on or through the services offered by Aus-Afri-Teq Ltd. This policy also covers personal data collected from Aus-Afri-Teq Ltd for clients and prospective clients. We take the Privacy of our clients’ Data seriously. For that, we have created this Privacy Policy. Please read this Privacy Policy as it includes important information regarding your Personal Data and other information.

We collect personal information to help support the need of young people, improve our services and meet our funding requirements. We will keep your name, contact details and academic and mental health information and support needs on your client file. Other details such as your needs, assessment, individual service plan, Safety plan and academic support plan are also kept on your file. Our staff will also record each time they contact you.

2.2. Any information that does not relate to a person and cannot be used to identify a person. Which is referred to as “Non-Personal Data” as used in this Privacy Policy. When you interact with our services, we may collect Non-Personal Data. The limitations and requirements in this Privacy Policy on our collection, use, disclosure, transfer, and storage/retention of Personal Data do not apply to Non-Personal Data.

2.3. The information Aus-Afri-Teq collects provides staff with up-to-date details about your support needs so staff can provide you with the best possible service. The Data also feeds into research and evaluation projects to improve the overall quality of our services. Any information provided to funding bodies or used for research and evaluation purposes is done in a way that protects your Privacy.

2.4. Protecting your Information:

Law also protects the Privacy of your data. Aus-Afri-Teq is committed to safeguarding the confidentiality of the information in your file. We treat your information with the strictest of confidence and store it securely. Hard copies of your information are stored in locked filing cabinets, and electronic Data is stored in password-protected files. Any information that is used in reports and publications is reported anonymously.

Personal Data That We Collect.

3.1. When you use or interact with us through our services or engage with Aus-Afri-Teq as a client or prospect client, we may collect Personal Data. Sometimes this will be on our behalf, and other times, this will be on behalf of a partner organisation using our services to support our work. This is an important distinction for specific data protection laws and is explained in more detail below.

Information Collected from all our service users.

The information our clients, partners and external bodies provide to us:

For all users engaging with Aus-Afri-Teq, we collect Personal Data when you voluntarily provide such information to Aus-Afri-Teq. Such as when you register for access to our services, contact us with inquiries, respond to one of our surveys or browse or use certain parts of the services. The Personal Data we may collect includes, without limitation, your name, address, email address and any other information you choose to provide that enables service users to be personally identified.

3.2. Information we automatically collect:

We also automatically collect specific technical data sent to us from the computer, mobile device and browser through which you access the services (“Automatic Data”). Automatic Data includes, without limitation, a unique identifier associated with your access device and browser (including, for example, your Internet Protocol (IP) address). Characteristics about your access device and browser, statistics on your activities on the Services, information about how you came to the Services/referral and data collected through Cookies, Pixel Tags, Local Shared Objects, Web Storage, and other similar technologies. In our Cookie Statement, you can find more information about how we use Cookies and other similar tracking technologies. When you register for the Services or otherwise submit Personal Data to us, we may associate other Non-Personal Data (including Non-Personal Data we collect from third parties) with your Personal Data. In such an instance, we will treat any combined data as your Personal Data until it can no longer be associated with you or used to identify you.

3.3. Managing your information:

You have a say in what happens to your personal information, and you can withdraw or change your consent at any time. You have a right to request access to your information. You can discuss this with our staff if you disagree with the statement in your file. You can also request that we include comments from you on anything we have in your client file.

3.4. Information Collected from donors/external agencies.

If you donate to support Aus-Afri-Teq, we will collect additional Personal Data from you. In some cases, we may collect your credit card information (e.g., your credit card number and expiration date, billing address, etc.), which may constitute Personal Data, to secure specific donations. In addition, if you use our payment processing services, we will collect financial information from you (e.g., your bank account information or an address to send checks). As necessary to facilitate donation payments and information required for tax purposes (e.g., your taxpayer identification number).

Information we obtain from other sources:

 We may also collect or receive Personal Data, including your name, email address and other contact information from third-party sources, such as third-party websites and external partners, your bank, our payment processing partners and the Australian taxation agency.

Information Collected from Volunteers:

If you volunteer with us, we will collect additional Personal Data from you, sometimes when engaging with vulnerable people to run background checks. If you are engaging with Aus-Afri-Teq as a volunteer or paid employee, we may collect the following: your name, email, address, phone number and other personal contact information. Suppose you are engaging with our academic and mental health support teams as a client and consent to collecting personal information such as name, address, phone number and other personal information. In that case, the Aus-Afri-Teq support team may collect this information.

How we use your data.

Aus-Afri-Teq collects and uses personal Data we collect in a manner that is consistent with this privacy policy and applicable privacy laws. We may use this personal data as follow:

4.1 Specific Reason:

If you provide personal data for a specific purpose, we may use the Personal Data in connection with the purpose for which it was provided. For instance, if you contact us by email, we will use the Personal Data you provide to answer your question or provide the service you requested and will respond to the email address from which the contact came.

4.2 Access and Usage:

 Suppose you provide personal data to obtain access to our services, online or face-to-face, for any functionality. We will use your data to provide you with access to or utilise the services or functionality and analyse your use. For example, personal supply data relating to your identity or qualification to use a specific area of our services. We will use that information to decide whether to grant you access to such services.

4.3 Internal Business Purposes:

We may use your data for internal business purposes, including email, SMS marketing, displaying media, and targeting other devices (such as tablets, mobile devices, and computers) without limitation. We do this to inform you about services or events we believe might be of interest to you, develop promotional or marketing materials and display Aus-Afri-Teq-related content and advertising on or off the services that interest you. We may also do this on behalf of clients and partners. For example, your prior interaction with one of our partners suggests you may be interested in a particular service we offer.

4.4 Other Purposes:

Suppose we intend to use any Personal Data in any manner that is not consistent with this Privacy Policy. Such anticipated use before or at the time the Personal Data is collected, or we will obtain your consent after such collection but before such use.

4.5 Aggregated Personal Data:

In an ongoing effort to understand and serve our clients better, we often research our customer demographics, interests and behaviour based on Personal Data and other information we have collected. This research is typically conducted on an aggregate basis that does not identify you. Once Personal Data is in an aggregated form, for purposes of this Privacy Policy, it becomes Non-Personal Data.

5 How We Disclose and Transfer Your Data:

5.1: Background checks:

Your information can only be seen by Aus-Afri-Teq staff and only released with other services if you give Aus-Afri-Teq permission or if the law or safety concerns require us to do so.

We are not in the business of selling your Personal Data. We consider this information a vital part of our relationship with you. Therefore, we will not sell your Data to third parties, including third-party advertisers. There are certain circumstances in which we may disclose, transfer, or share your Data with certain third parties without further notice to you, as outlined in this Privacy Policy.

5.2 Employment and Volunteer.

We might hire individuals and engage with volunteers as we develop our organisation. In recruiting volunteers and employees, Personal Data may be part of conducting background checks, including criminal record checks. We may also disclose your data during due diligence for such an event. You acknowledge and agree that any successor hired by Aus-Afri-Teq will collect your personal data for this sole purpose and to have the right to use your Personal Data and other information in with the terms of this Privacy Policy.

5.3 Agents, Consultants and Service Providers:

We may share your Data with our external agencies and service providers who process Personal Data on behalf of Aus-Afri-Teq to perform certain business-related functions such as background checks and referrals for further service provision. When we engage another organisation to perform such functions, we may provide them with information, including Personal Data, in connection with their performance of such processes. These companies/ organisations include security agencies, online service providers, data enhancement and data services providers, database service providers, backup and disaster recovery providers, email service providers, payment processing partners, customer support, tech support, hosting companies and others.

5.4 Fill out forms:

In addition, when you register for a course, service support and other events, sign up for communications or enter a contest. Otherwise, input your Personal Data (such as through a web form) to communicate with Aus-Afri-Teq or participate in one of our services or event, and we will receive that information. For instance, we will receive that information if you input your name and email address into a web form for a service, activity or event. We will then send you marketing or other communications, which may be subject to its separate privacy policy. Likewise, if you provide your mobile phone number, you may receive information messages related to the service, event, activity, or information in which you’ve expressed interest.
